SWALLOWS FIELD GLAMPING TERMS & CONDITIONS
Booking/Payment Method
Reservations can be made via our website, through our booking partners or by telephone. If your holiday dates are within 6 weeks of arrival the full cost of your holiday will be payable immediately. Our website will only take full payment for your booking, although if your stay is longer than 6 weeks away, and you would prefer, the pod can be reserved for a non-refundable £100 deposit and you will need to contact us to book on the telephone in this instance. The balance of your booking will become payable 6 weeks prior to your arrival date.
Cancellation/Alteration
We cannot guarantee that we will be able to change a confirmed booking but will accommodate you where we can. If your booking is cancelled within 6 weeks of your arrival date (and therefore the full balance has been paid) the balance (less the deposit) will only be repaid to you if we are able to re-let the Pod. If the Pod remains un-sold then no monies can be returned.
If for any reason beyond the proprietor’s control such as (but not limited to) fire, flood, power failure we have to cancel your booking all monies will be returned to you.
Holiday Insurance is not included in the price of your booking. We strongly suggest that you consider taking out insurance to cover you should you have to cancel or terminate your holiday unexpectedly.
Arrival and Departure
The Pods should be ready for you by 3pm on your arrival date. You must vacate by 10.30am on your departure date so that we have time to get them ready for our next guests.
We would ask that you call or e mail us with an estimated check in time please: Liz 07875 581982 John 07710 178135 landline 01206240626. We do like to greet our guests on arrival and show them around the Pods. We ask that you plan to check in prior to 8pm.
If we do not have guests departing on the morning of your arrival we may be happy for you to check in earlier than 3pm. Please contact us to discuss close to your arrival date.
The Pods
Occupancy must not exceed the number of people agreed at the time of booking and must not exceed the maximum occupancy of 4 adults.
The name provided throughout the booking will be solely responsible for the other guests during your stay and for any breakages or damages caused. We politely request that any damage or breakages are reported to us as soon as possible. We understand accidents happen but reserve the right to charge for damages and breakages, which we consider, were deliberate or recklessly caused.
No furniture or bedding are to be removed from the Pods.
All of the Pods are non-smoking, although smoking in the garden is permitted we would ask that you are respectful of our other guests and particularly careful when extinguishing your cigarettes and disposing of them responsibly (please use ashtrays and the rubbish bins outside of the Pods)
Strictly no candles inside of the Pods please.
Please leave the Pods tidy and rubbish free on your departure day. You should keep the furnishings, kitchen equipment, crockery, glasses, bedding and towels clean and in good condition.
We give an honest impression of what the Pod looks like through our published images but please be aware that items such as furniture, furnishings & crockery are replaced from time to time and that the garden may have changed since the photographs were taken.
BBQ’s and Firepits are used at your own risk. Please ensure the BBQ is emptied of coals & the grill cleaned on your day of departure. There is a specific refuse bin for disposing of BBQ coals, hot or otherwise.
In the event of wet and muddy weather please do use the outside taps provided in the dog wash area & the bin store area to wash off muddy boots & shoes. Feel free to utilise the boot boxes outside of the Pods to store wet footwear. Please ask if you have wet coats and clothes as we may be able to provide a drying area, outside of the Pods for your use.
Please be considerate of other guests & our neighbours by keeping noise to a minimum. Please keep music volume to a level where it can only be heard in your own Pod & garden. We do insist on absolute quiet after 11pm. We reserve the right to ask you to leave if this is not adhered to and your booking costs will be forfeited.
We do allow day visitors, to a maximum of 2 adults per Pod (we are an adult only site & children will not be allowed as visitors) we will require notice please & can therefore provide your visitors with somewhere to park. Day guests must leave the site before 10pm.
Doggie Guests
We welcome 2 well behaved pets in each of the Pods at Swallows Field, included in the price of your booking. Please contact us to discuss your booking if you wish to bring additional pets and we will consider your request on an individual basis. There may be an additional charge to accommodate you in this scenario.
We will provide an area for you to wash and dry your muddy pets prior to allowing them back into the Pods (we have some towels for you to use too)
We ask owners not to leave their pets alone in the Pods or gardens.
Pets are not allowed on the furniture in the Pods please.
Some of the fencing in the enclosed gardens will be see through, so if your dog is reactive to other dogs or likely to bark we have provided a metal ring for you to use to tether your dogs within the private area of the patio (6ft fence panels)
Please clear up after dogs immediately and dispose of it responsibly in the doggy poop bin provided.
Keep dogs on the lead outside of your Pod & enclosed garden.
Dogs that cause excessive noise, display aggressive behaviour and owners who neglect to clear up after their pets may be asked to leave the site and forfeit their booking.
Group Booking Policy
As a general rule we do not accept group bookings for single sex parties under 25 years of age. Swallows Field Glamping Pods is really not the place for your Stag or Hen do. That said, we are happy to discuss individual requests. A group booking for a Yoga or Mindfulness break would be welcome, as would a Motorcycle tour group. We reserve the right to decide on a case by case request and do not have to justify a refusal in any circumstances.
Surrounding Area
Swallows Field is located in a rural area. We are surrounded by beautiful scenery and working farmland. Historically we have always had cereal crops in the field directly in front of the Pods. There might be some farm machinery working at times in the fields and particularly during harvest when there will be increased dust and possibly flies. We will do our absolute best to keep the Pods in immaculate condition during this time but dust is sometimes inevitable. Please bear this in mind when booking. Occasionally, during the shooting season a small group of guns will pass through the back field.
You will enjoy seeing a variety of wildlife whilst staying at Swallows Field. Pheasants and hares roam the field and bats, deer & buzzards can also be seen from the Pods. Our swallows will be back for the Summer & live in the stable block. We welcome them every year.
Data Protection
All personal information supplied to us will be treated in confidence by Swallows Field Glamping Pods and will not be disclosed to third parties except where your consent has been obtained or where required by law. In order to provide you with a service & process your booking your information will be held in the data systems of Swallows Field Glamping Pods. Only persons permitted to access your information are those employed and therefore authorised by us. From 25 May 2018, the Data Protection (Charges and Information) Regulations 2018 requires every organisation or sole trader who processes personal information to pay a data protection fee to the ICO, unless they are exempt. Swallows Field Glamping Pods is registered with the Information Commissioner’s Office and the fee has been paid. Payments made through Stripe are secure and your payment details will not be disclosed to us, or held by us on our data system. For communication purposes we keep the lead guest’s e mail information on file. This ensures we can contact you freely with regards to your stay. From time to time we may send you an e mail in relation to promotions or events we hold but you can let us know if you prefer not to be contacted in this way.
Expressions of Dissatisfaction
Our aim is for you to feel delighted with your accommodation and thoroughly enjoy your stay with us. If there is something not quite up to your expectations please do let us know right away. We will endeavour to correct the issue so that you can enjoy the rest of your stay. Feedback is so important to us, ideas and comments will be gratefully received.

We hold the above insurances for Swallow Field Glamping Pods through our agent at NFU. The certificates can be made available should you wish to see them.
